Invitation (Visa) Letter

If you are planning to attend the SIP2025 conference and require a formal invitation for visa purposes to travel to Canada, please follow these steps:




Ensure Registration

Before requesting an invitation letter, you must have completed your registration for the conference. This applies whether you are attending as a presenter who has submitted an abstract or paper, or as a participant without a presentation. Refer to the earlier details for information about the various categories and fees for registration.




Fill Out the Registration Form

Complete the conference registration form available at: https://sip2025.org/registration-form.html




Wait for Letter of Invitation

Upon verifying your registration and processing your request, the organizers will issue the Letter of Invitation. This process ensures that all registered participants receive the necessary documentation for their visa application.




Use Letter for Visa Application

Present this letter as part of your visa application to demonstrate that you have a legitimate reason to visit Canada for the conference. The invitation letter will include details about the conference, your registration, and your participation status.




Understand Limitations

Please be aware that the Letter of Invitation itself does not guarantee that a visa will be granted. It is an essential document to support your application, but other requirements must also be met as per the Canadian embassy or consulate guidelines in your region. The decision to issue a visa is made by the visa adjudicator at the embassy or consulate.




Abstract/Paper Acceptance Letter

If your abstract or paper is accepted, the conference will send you an official acceptance email. A separate acceptance letter will not be provided. However, if you have completed your registration and made payment of the conference fee, you can receive the acceptance letter along with the visa letter. Use the email correspondence as required and refrain from requesting a separate acceptance letter.




Electronic Travel Authorization (eTA)

Some participants may not need a visa but might need an Electronic Travel Authorization (eTA). The eTA allows certain visitors to fly to Canada. Find out if you need an eTA: https://www.canada.ca/en/services/immigration-citizenship.html




Arriving in Canada

Upon arrival in Canada, you must present your passport or travel documents, your visa (if required), and any other documents needed for the border services officer. Be prepared to answer questions about the purpose of your visit and how long you plan to stay.
